Tools Needed:
- ManyChat or Chatfuel (connects to WhatsApp or Instagram)
- Google Sheets (for optional lead tracking)
- Calendly (optional for slot booking)
- Make.com (optional to connect tools)
Step 1: Create the Chat Flow in ManyChat
- Connect ManyChat to Instagram or WhatsApp (via Meta Business)
- Build a flow:
- Greet the user → “Hi! Looking to book an appointment?”
- Ask which service they’re interested in (buttons: Haircut, Facial, Dental Checkup, etc.)
- Ask for preferred date & time
- Confirm booking or link to Calendly if available
- Store user info (name, service, time) in a custom field
Step 2: Send Confirmation & Reminders
- After collecting booking info:
- Send confirmation message instantly
- Schedule automatic reminders.
- Optional: Ask for feedback or rebooking after the appointment
Step 3: Handle No Shows Automatically
- If the user doesn’t show up:
- Wait for 2 hours post appointment
- Send a follow-up: “Missed you today. Want to reschedule?”
Step 4: Customize Replies for the Business
- Update tone and services in the flow to match each client
- Add location specific info (address, timings, pricing)
Step 5: Deliver & Charge
- Export the flow or clone it in ManyChat/Chatfuel
- Train staff how to view booked appointments
- Offer ongoing support for updates and reminders
- Charge ₹30,000 to ₹40,000/month per client
